Documentation for backend users
General information
- All assets are loaded into the AdmiralCloud with the status "Not released".
- Assets can only be released once all mandatory fields have been filled in.
- All assets should have a comprehensible name created according to the following code: Date_theme_consecutive number
- YYYYMMDD_topic_000.type or YYYY_MM_DD_topic_000.type
- z.B.: 20250125_Gruene_Woche_9794
Mandatory fields or minimum requirements for an asset are as follows:
- Description (mnd. 10 characters)
- Assign at least 3 tags
- Copyright Notice
It is also recommended to fill in the following fields:
- Photographer:in
- People in the picture (if required)

Description
- What can be seen in the picture?
- Which event?
- When, where?
Tags
When assigning tags, please always remember to use them in the media hubs (media libraries). In the channel tags, assets are also sorted according to the tags assigned.
The following are important, for example:
- Building
- event
- workshop
- excursion
- Trade fair
- Person
- ...
Tagsonomies" have been created to make working with tags easier. Tagonomies are tag chains that automatically create additional tags when a tag is used. The following have been created so far:

Departments,

FB1, FB2... - > full department name, abbreviation (LOEL), campus...

Buildings - > "white building" - outputs complete names

Professors - > "bagdahn" displays full names

Persons in the picture
- Important persons for the university (management, professors, ministers...) are created as a tag.
- Please place all other persons (if known) in the field "Persons in the picture".
- Always link the completed declaration of consent to the image motifs
- Select the approvals in the "Intended use" field
Comments

Comments on assets can be entered, but will NOT be output in the media library. e.g. photos from the DokuTeam: "Larger data can be requested from Marketing and Communications."

Unprocessed photos must be labeled. E.g.: "unedited project images", "unedited images, please edit if used"
Publication
Once all mandatory fields have been filled in and the asset has been approved, publication must be considered. Assets are therefore interesting for the internal or external media hub (media libraries).
The selection for the external media hub is very limited; only exclusive photos may be stored here. Almost all assets should be stored in the internal media hub. This means that you have to add them directly to the channels to ensure that the media library is up to date.
